We do not ask for more personal data than necessary. We request that you do not share sensitive personal information unless it is necessary for your stay.

3. WHAT DO WE USE YOUR DATA FOR?

3.1 Processing reservations. We use your data to make, confirm, amend or cancel a reservation.

3.2 Taking care of your stay. We use your data to inform you about arrival, access to the property, departure and practical matters during your stay.

3.3 Payments and administration. We process data for payments, invoices, refunds, tourist tax, and our financial administration.

3.4 Staying in touch. We use your contact details to answer your questions, process your requests, and be able to reach you during your stay if necessary.

3.5 Complying with legal obligations. We are required to process or retain certain data due to tax, administrative, or other legal obligations.

5. BOOKINGS VIA MYTOURIST AND BOOKING PLATFORMS

For our reservation administration and digital guest environment, we use MyTourist. Through this system, reservation data can be processed and guests can receive practical information about their stay.

When you book through an external booking platform, we receive the personal data necessary to process your reservation. The platform in question also processes personal data itself in accordance with its own privacy policy.

We use the received data exclusively for the purposes described in this privacy statement. The exact responsibilities for data processing depend on the agreements with the respective service provider.

6. PAYMENTS

At De Olde Signorie, payments are exclusively digital. We do not accept cash payments.

For processing online payments, payment requests and any refunds, we may use external payment service providers and banks. These parties process the data necessary to securely execute payments.

We receive and store the information necessary to administer a payment, but we do not ourselves store full payment card details.

7. CONTACT VIA WHATSAPP AND E-MAIL

We believe in personal and accessible communication. That's why you can reach us through various channels, including WhatsApp and email.

When you contact us, we process the data you provide, such as your name, phone number, email address, and the content of your message.

We use this information to answer your question, make appointments, or ensure your stay goes well.

When using WhatsApp, the provider of this messaging service also processes data according to its own privacy policy. Therefore, do not share sensitive personal data via WhatsApp if possible.

8. WITH WHO DO WE SHARE DATA?

We do not sell your personal information to third parties.

When necessary for our service provision, we may share data with parties that support us in reservations, payments, website management, hosting, communication, administration, and accounting.

This can include, for example, MyTourist, external booking platforms, payment service providers, banks, hosting parties, and administrative service providers.

We only share data that is necessary for the specific purpose. When a third party processes personal data on our behalf, we ensure, where required, that agreements are in place to protect that data.

In addition, we may disclose personal data to competent government agencies where there is a legal obligation or other valid legal basis to do so.

When data is no longer necessary, we delete or anonymize it, unless further retention is legally required or otherwise justified.

16.4 Even after departure, we handle information about our guests and their stay carefully and discreetly.
